Modern Requirements Management

Founded in 2017 in Los Angeles, California, Auto Motive Power (AMP) has been dedicated to the evolution of e-mobility. With innovative, industry-leading software and hardware, AMP is the world leader in connected battery management, charging, and cloud technology that empowers electric mobility.

The market for electric vehicles is growing at an exponential rate — and not just cars — scooters, airplanes, drones, helicopter markets are all moving toward electrification. As this demand increases, companies like Auto Motive Power (AMP) are tasked with designing, building and monitoring batteries and charging solutions that can withstand this transition away from fossil fuels.

Batteries aren’t cheap, either. It’s estimated that a battery in an electric vehicle can cost as much as 30-40% of the total cost. And given this great expense, companies like AMP are being challenged to find a way to bring down the cost — and AMP is leading the charge.

As an innovator and leader in the battery management industry, AMP is refusing to work within the confines of traditional approaches and instead designing for the needs of today and tomorrow.

After Initially Selecting Intland Codebeamer, AMP Reevaluates and Moves to Jama Connect

As part of their innovative approach to developing vehicle subcomponents, the AMP team began the search for a modern requirements management solution that could help them address the following challenges and objectives:

  • Getting users up and running quickly to support their pace of growth
  • Managing unique requirement IDs across multiple projects
  • Maintaining traceability as things change
  • Enforcing efficient processes and workflows in development

Initially, as a new startup, the AMP team was using Atlassian Confluence and Microsoft Word for requirements management. But as the team grew and their processes matured, it became clear that in order to continue pushing the boundaries of innovation, the team needed to move away from static requirements trapped in disparate documents and move towards a modern requirements management platform that enables Living Requirements™ which create a common thread through all downstream activity

“It’s so important to implement a proper requirements management process and solution as part of the DNA of a startup,” said Jana Fernando, Vice President of Technology at AMP. “Making great products starts with having good product definition – and requirements are a prerequisite to that. Having a good RM solution and process means that all stakeholders agree from the very beginning.”

After briefly evaluating IBM DOORS and Siemens Polarion, the team focused on Intland codebeamber for their application lifecycle management (ALM) tool. After just a short 2-3 weeks, the team realized it was, in fact, not the right tool for them and so continued in their search for a requirements management solution that would better meet their needs.

“It’s so important to implement a proper requirements management process and solution as part of the DNA of a startup… Making great products starts with having good product definition—and requirements are a prerequisite to that. Having a good RM solution and process means that all stakeholders agree from the very beginning.” – Jana F, VP of Technology, AMP

Why Jama Connect Was Chosen Over Other RM Tools

After the trials and limitations experienced with other solutions, AMP’s search for the right modern requirements management platform led the team to select Jama Connect for the following qualities:

  • Proven performance and industry credibility
  • Powerful yet easy-to-use platform
  • Quick implementation
  • Premium customer support and industry-specific knowledge

Automotive Product Development

Bollinger Motors is engineering Class 3 and 4 electric platforms and trucks. From the ground up, the team’s dream was to build something better. Bollinger is working with environmental organizations and Tier 1 and engineering firms to create advanced solutions that will facilitate the reduction in U.S. greenhouse gas emissions. They understand that the future is electric, and they’re especially proud to be building their all-electric trucks locally in Detroit, Michigan.

To set a solid foundation for the future of their company’s growth and innovation, bringing in more discipline to their development process was of the utmost importance. Bollinger Motors was looking for some key things in a modern requirements solution, and Jama Software fit the bill.

An Organized and Centralized Requirements Management System

When Jama Software was brought in, it was at the time the company was looking for a streamlined way to handle the complexity of their innovative vehicles. They needed new software to help achieve their high-level goals.

“Our vehicles are a massive organization of complex interconnected parts, and to effectively manage that level of complexity, an organized and centralized requirements management process was essential, “shared Lyth Alobiedat, Lead Controls Engineer at Bollinger Motors.

Across their vehicles, they have eight programmable modules which are each responsible for some subset of the vehicle’s subsystems. Alobiedat oversees all the modules that exist in the vehicles they are building — and his team is responsible for both the software and the implementation of the systems. These complex modules all need to interconnect, communicate, and perform in very specific ways.

With a lean team, they knew that to build the first vehicles of their kind, their requirements management process had to be in order. They needed to move away from static requirements trapped in disparate documents and move towards a modern requirements management platform that enables Living Requirements™ which create a common thread through all downstream activity.

Jama Connect enables the Bollinger team to create living requirements which link each requirement to its decomposed user stories, dev status across engineering teams, change impact analysis, risk analysis, test results, defects, etc. This is helping them more effectively manage and validate complex systems requirements while eliminating the risks and inefficiencies associated with static, inefficient documents-based requirements and other legacy systems.

Ease of Use

According to Alobiedat, ease of use was a core differentiator—and key reason for the selection — of Jama Connect, when compared to other requirements management tools. With many on the Bollinger Motors team experienced in using other, more challenging-to-work-with requirements tools, a platform as easy as Jama Connect stood out for them. Even traditionally non-tool users can get involved and use the tool quickly. “We had one training day with Jama Software’s Professional Services team and after that, nearly every person in the company was able to write at least one or more requirements,” said Alobiedat. Because Jama Connect is designed with training and documentation aligned to industry standards, it helps teams get ramped up quickly and see value immediately.

Ability to Import and Export with REQ IF Data Exchange

Another key priority when selecting Jama Connect, was having the ability to import and export data accordingly, and effectively collaborate through requirements exchange, including standard Req-IF based data exchange.

“The ability to import and export documents with Jama Connect was just something that stood out over anything that I’ve used in the past,” said Alobiedat.

Data Exchange for Jama Connect enables the transfer of requirements and associated metadata between customers and suppliers, using the industry standard ReqIF file format. The ability to import, export, and update data to create an ongoing exchange of requirements throughout the product development process has allowed the Bollinger team to save countless hours of tedious, manual work.

A Configurable, Scalable, SaaS Tool

When the team was looking for a new solution to manage their requirements, a Software as a Services (SaaS) tool was important, but in addition, they wanted a tool that would fit into their team’s existing workflow. “The configurability of everything in Jama Connect is just huge for us, because it allows us to use the tool the way that we want to,” shared Alobiedat.
The Bollinger team knew that having a SaaS requirements management solution would offer integrations with other cloud-based tools — thereby accelerating the design phase of the product development lifecycle with efficiency and scale by connecting requirements in Jama Connect with model-based design tools. It would also help to further streamline product development process and allow better collaboration across ecosystems like MathWorks, MATLAB & Simulink.

“With Jama Connect being a cloud-based tool, I particularly appreciate that it’s one less piece of software to connect, it’s one less VPN to log into and it’s one less risk of any potential local server issues that we have. The simplicity of just being able to quickly log in to a website browser and read the requirements that we need and submit them for approval is huge.” Lyth Alobiedat, Lead Controls Engineer Bollinger Motors

In addition to meeting all the objectives the Bollinger Motors team sought to accomplish by selecting and implementing Jama Connect, they have found some unexpected and welcome features of the platform that are making their processes even more efficient. Backed by a legacy of engineering excellence, reliability, and industry-leading customer service, Telesat is one of the largest and most successful global satellite operators. Telesat works collaboratively with its customers to deliver critical connectivity solutions that tackle the world’s most complex communications challenges, providing powerful advantages that improve their operations and drive profitable growth.

Continuously innovating to meet the connectivity demands of the future, Telesat Lightspeed, the company’s Low Earth Orbit (LEO) satellite network, will be the first and only LEO network optimized to meet the rigorous requirements of telecom, government, maritime, and aeronautical customers. Operating under its global priority Ka-band spectrum rights, Telesat Lightspeed will redefine global satellite connectivity with ubiquitous, affordable, high-capacity links with fibre-like speeds.

Selecting Jama Connect – Objectives and Evaluation Process

From a state-of-the-art global, geostationary satellite fleet, to their Low Earth Orbit network, Telesat has a long history of building some of the most advanced communication systems in the world.

When the Telesat team embarked on a major new project to deliver its next-generation LEO satellite network, they knew it was time to look holistically at the portfolio of software and tools available to their engineering staff to ensure that they had what they needed to be successful.

Enabling connectivity across the planet is no easy undertaking. And the team views it as a lighthouse investment into the future of Telesat as a business.

“Starting a program of this complexity and scale really motivated us to think critically about how we manage our engineering practice and the tools that we use.” – Nicholas “Donnie” Laughton Director, Software Architecture and Engineering at Telesat.

With robust and experienced systems engineering practices already in place, it was crucial to the team that they use a deliberate and considered approach to selecting the right requirements management solution.

Their key objectives were to find a formal requirements management solution that:

  • Would allow them to pivot from a documents-based approach to data-driven requirements
  • Had robust capabilities and flexibility
  • Was easy to implement and use

RELATED: Jama Connect in the Digital Engineering Ecosystem

At the beginning of the project, the team was able to use a documents-based approach to requirements gathering. However, as the conceptual phase of the LEO project ended and technical documentation started, the team knew they needed to pivot to a formal requirements management solution.

The importance of finding the right requirements management solution was not lost on the team, either. While their requirements management solution needed to have robust capabilities and flexibility, it also needed to be easy to implement and easy to use.

“We knew we needed to find a solution that gave us enough flexibility to manage requirements oriented at both software and hardware, but also not so complex that it required a full-time system admin to manage the platform,” said Laughton.

“Implementing the right tools and processes for our engineering team is critical to the future of our business. If we don’t manage our requirements well, it may impact our ability to meet our in-service target dates, which could negatively impact start of commercial service. The markets are demanding agility and these tools will help us be responsive to that demand.” Nicholas “Donnie” Laughton Director, Software Architecture and Engineering at Telesat.

As a mature satellite operator with proven performance in spacecraft development and system operations, it’s not surprising that the Telesat team had a very stringent evaluation process for implementing new technologies. When Telesat embarks on selecting new engineering tools, they perform what’s called a weighted trade study. A simplified version of this trade study can be seen below.

Ask JamaAs part of our ongoing series of Ask Jama webinars, covering customer questions and best practices, our most recent webinar was all about answering your most pressing questions about Jama Connect.

In this webinar, our customer support and professional services team started the session with an overview of Jama Software’s Support and Community resources and then spent the rest of the webinar answering questions from our current and future customers.

This webinar was well received by our customers, and we wanted to make sure nobody missed out on this great content. Below, you’ll find a recording of the webinar and an abbreviated transcript.

Ask Jama:  Ask us anything – that’s right – anything about Jama Connect!

Question: How do I improve my team’s quality of requirements authoring? And how do I distinguish system level and sub system level requirements?

Answer: For those that aren’t familiar with Jama Connect, on the right-hand side you’ll see a little relationship diagram, and these boxes are item types. They’re different than documents. They’re really more like data driven, granular specific requirements. So you could have multiple levels of requirements that trace to each other. So that’s essentially how I would differentiate if you had a system requirement, you need to decompose that into multiple sub system requirements. You could utilize this traceability capability.

So, for example, if I’m looking at this manual scheduling system requirement, there’s probably a lot of manual scheduling I could do, I could change the temperature, I could change the schedule of when I’m home or when I’m not home, so I could make that be the sub system requirements that are part of the software, and it’s really just when you have your relationship role set up, you can add sub system requirements that would then be traced to the system requirement. So I think using the multiple item types and the relationship role is a great way to differentiate.

Question: How do I know that a requirement is well written?

Answer: But kind of getting back to the quality, how do I know a requirement is written of a high quality, there’s a lot of different ways that you can tackle that. I have this little text item here called guidance and I find that a lot of our customers do a really good job of putting directly in Jama Connect a link to their work instructions, which has maybe it’s like a process guide, or maybe it’s an actual tactical screen shot by screenshot set of instructions that you, in terms of how you want people to use Jama Connect, and it’s also a great place to put in some requirements offering suggestions.

RELATED:  Five Best Practices for Writing Requirements

Systems Engineering Requirements Templates

So, for example, I have here a couple different requirement templates. I have one that’s based on system engineering, so you want to have a trigger, pre-condition, actor, action, object. That’s a very good template to start from and then I’ve got a little example here, like an airbag, when a collision is detected, precondition is and the passenger airbag switches on, the actor is the system, action is it shall detonate and the object is the passenger airbag. Now you don’t necessarily have to write it in a table format but having this little template here in the example can be really nice when you’re authoring, and you can actually work with your Jama Connect admins to add these templates directly in Jama Connect.

Question: What’s the difference between requirements and design?

Answer: The way I like to differentiate it is requirements are really meant to describe the need for something, whereas design is like the response of the how, how we’re actually going to implement that requirement.

So, this is a very simple distinguish differentiation between the two, but obviously if you have a complex system, you might have something more complicated where, like in my example I have stakeholder needs that decompose down to system requirements that decompose into subsystem hardware or software requirements. But it is important that you’re differentiating requirements versus design, because you don’t want to over constrain your development team by putting too much design decisions into the requirements themselves. Of course, that’s always a real challenge and I’m guilty of doing that myself too.

Question: How do baselines relate to document versions?

Answer:  For folks that are new to Jama Connect, or haven’t used Jama Connect before, when you have a document, let’s say a word document, I might version it, or I might have it in a SharePoint or a OneDrive system that’s kind of automatically versioning it. When you’re doing that though, especially with requirements specifications, it’s single document version is going to have a lot of unstructured data or unstructured text inside of it, so you might have requirement one, requirement two, requirement three. They’re all contained within document version 3.0, or three different versions of that document. The concept of versioning in Jama Connect is we have different tiers. So when we use the term version we’re actually referring to an individual requirement level.

So I might have requirement one which is on version three, it’s liked to a test A which is on version two, and then I might also have a requirement 2 which is on version five. Each of these items you can actually see if I click on an individual item here. On the right hand side is what we call widgets, and you can see this particular manual scheduling requirement, it’s on version eight. I can click on this version eight and I can see how things have changed. So I made a short little change right before the webinar started here and I want to compare from version seven to version eight, and I can hit the compare button, but that’s going to show me the tracked side by side change, so I can see in red the word monthly was taken away and I replaced it in green with the word weekly. So each of these, that’s the big difference between a document and more of a data driven tool like Jama Connect is that it’s going to be tracking the version at a much more granular level.

RELATED: Defining and Implementing Requirements Baselines

Question: Where do baselines come into play?

Answer:  Baselines is a term and a concept that we use in Jama Connect, it’s kind of more equivalent to what you might previously thought of as the document version. So baseline will take a group of items and you all as the users can scope what items you want to include in the baseline, and it will take a point in time snapshot of all of those items. So the real differences of document versions is really like the version is relevant to the whole document and there’s a lot of unstructured text. A baseline in Jama Connect is meant to have structured requirements, test cases, whatever it is you’re tracking.

Question: How do I create custom exports?

Answer: it took me a while to learn the difference at least with how we use our terms within Jama Connect between templates and reports. So templates in general are structured formats limited to data stored in the UI, just to give a little bit of a definition and understanding to it. So when we are saving information as a template, we are creating another view for the data. A template can be exported either as is, or used in a report. Our reports are used to avoid the UI to structure and export information, whereas templates are more reflective of the information shown in the UI. Our advanced reports are an export with information either being pulled from the database or API culled. Both of which aren’t capable through the UI.

So, you can create an export or office templates if you don’t mind the limitations of how your information is reorganized and presented outside of Jama Connect. I also do want to note that there is a difference between our office templates and our editor templates. Our office templates are going to be what you use to export. Our reports though are a little bit different. If you are a self-hosted customer, or if you have a self-hosted instance, you can create your own reports.

You can also contact your account manager as well and they can help you in creating a custom report built by one of our report specialists.

[Series Recap[ Optimizing Product and Systems Development Processes

With over 12.5 million active users, organizations around the globe rely on Jama Connect to improve their product development process and bring the world’s most innovative products and systems to market.

Over the last few months, we’ve been running a webinar series called “Optimize Your Product and Systems Development Process with Jama Connect,” designed to specifically help our customers and future customers get the most out of Jama Connect. While the series has concluded, we feel that there was a great amount of value in these webinars.

Check out the three-part series below for an in-depth overview of how to use Jama Connect to optimize your product and systems development process.

Episode 1 | Standardizing Requirements Management Across the Organization

Quick overview: In this webinar, experts discuss the benefits of defining, deploying, and enforcing requirements management standards for your organization.

Full Overview:

According to an Engineering.com survey, 83% of companies experienced at least one negative product outcome including: significant delays, cost overruns, product defects, compliance gaps, recalls, omitted requirements, and lengthy rework. Often these negative outcomes were directly related to poor requirements management.

On the flip side, standardization fosters excellence in requirements management, resulting in consistency, repeatability, predictability, and a competitive edge.

In the first episode of our Optimize with Jama Connect webinar series, we‘ll explore the benefits of defining, deployingand enforcing requirements management standards within your organization.

We‘ll also share best practices for requirements management standards and illustrate Jama Connect can help facilitate a successful and sustainable approach.

In this webinar, we’ll cover:

  • The benefits of standardizing requirements management across the organization
  • Common challenges in requirements management standardization
  • Using Jama Connect to facilitate implementation of requirements management best practices and standards

Episode 2 | Managing Product Development Complexities Across Hardware and Software Teams

Quick overview: In this webinar, learn to solve key challenges when integrating hardware and software requirements, risks, and tests in complex product and systems development.

Full Overview:

With the growing complexity of products and software, the more complicated the process required to build it becomes — and the accompanying increased risk of flaws which can lead to expensive, and potentially reputation-harming recalls. Managing complexities across software and hardware development requires the entire development process to consider (and include) a variety of teams and interdependencies.

In the second episode of our Optimize with Jama Connect webinar series, we will discuss some of the key challenges that teams face when integrating hardware and software requirements, risks, and tests, with a document based or legacy tool approach. We’ll also discuss how Jama Connect and its integration capabilities helps teams developing complex systems and products to:

  • Reduce product development risk
  • Provide end-to-end traceability for all involved teams
  • Improve product quality

Episode 3 | Building a More Effective and Efficient Product Development Process

Quick overview: In this webinar, experts share how Jama Connect can help make your product development processes more efficient and effective

Full Overview:

An ideal product development process requires close collaboration between teams, up-to-date knowledge of applicable regulations, and an efficient requirements management platform for defining, verifying, and validating requirements. However, not every manager is convinced that his or her team needs to do a better job on requirements development and management, or that such an investment will pay off —despite numerous industry studies which indicate that requirements issues are a pervasive cause of project distress.

In the third episode of our Optimize with Jama Connect webinar series, we’ll cover some of the ways our customers have used Jama Connect to improve not only their requirements, risk, and test management processes, but also their end-to-end product development process and outcomes
